The Hilton Garden Inn Toronto Airport, located close to the Pearson Toronto Airport, is currently recruiting for a Night Auditor! The Night Auditor is responsible for ensuring the operation of the Front Office during the over-night shift runs smoothly and that all finance reporting is timely and accurate. A key role of the Night Auditor is to ensure the well-being of all guests by acting as a key respondent to all emergency situations. Above all, the Night Auditors service is friendly, genuine and thoughtful, with a focus on creating an exceptional experience that fosters loyalty.

Key Responsibilities:

  • Reviews pass-over information, including emails and log-book, to prepare for any arrivals, departures or guests who require special attention;
  • Registers guests and assigns rooms, and accommodates special requests for late arrivals;
  • Prints and reviews arrivals report and ensures all credit cards have been pre-authorized by the PM shift with correct back-up;
  • Is aware of remaining inventory and sell-rate for the evening and is prepared to accommodate any walk-in guests;
  • Charges postings including rooms and miscellaneous items (ie: F&B, luggage handling, etc);
  • Performs all tasks of the Guest Service Agent including handling guest inquiries and resolving guest concerns brought forward during the shift;
  • Prepares and communicates a thorough pass-on to the next shift;
  • Prepares reports, including but not limited to, the following: City ledger transfers, cash and interact refunds, complimentary rooms report, credit card balance report, no-show report, movies report, summary aging report, closing aging report, guest ledger report, daily adjustment log report, etc;
  • Prepares Banquet postings, including but not limited to, ensuring that all banquet invoices are accurately posted for the day’s function with the right amounts and correct posting codes and accurately balances the Banquet charges posted to the property management system;
  • Counts all cash floats;
  • Posts parking revenue;
  • Ensures all guest laundry postings are done and posted with the correct codes and ensures the guest laundry invoices match the closing balance report;
  • Ensures that all restaurant posting slips are balanced and charged, and reports any inaccuracies to accounting;
  • Transfers charges and deposits to master accounts;
  • Checks that all charges are assigned to the appropriate departments;
  • Verifies that all transactions performed at the Front Desk have a corresponding signature (where necessary) and are properly allocated into the PMS;
  • Verifies that all charges posted from the POS system has reached the correct guest folios;
  • Prints and files reservations for the next business day;
  • Verifies that room rates are correct and posted to guest accounts;
  • Thoroughly understands and adheres to proper credit check and cash handling policies and procedures;
  • Follows procedures to maintain guest room key storage and administers access to safe deposit boxes;
  • Ensures a welcoming, engaging, and professional tone in all phone interactions;
  • Uses proper mail, package, and message handling procedures;
  • Using the hotels communication channels, is aware of daily activities and meetings taking place in the hotel;
  • Attends and actively participates in department and hotel meetings;
  • Reports any unusual occurrences or requests to the department manager or supervisor;
  • Knows all safety and emergency procedures and is the point of contact for all emergency related situations at the Hotel during the shift;
  • Maintains the cleanliness and neatness of the front desk area;
  • Understand that business demands sometimes make it necessary to rearrange schedule;
  • Perform other reasonable job duties as requested by the reporting manager;
  • Responsibilities may vary in the event of unusually low business levels that limit the financially viable resources to keep the hotel open. During these times, all hotel team members will work together to support the hotel operations as needed.

Requirements

  • Previous experience working in a Night Audit role is preferred;
  • Experience working as a Guest Service Agent is an asset. Demonstrated exceptional guest/customer service skills with a passion for anticipating and exceeding guest expectations;
  • Ability to adhere to the Company’s Vaccination Policy;
  • Excellent written and verbal communication skills are essential;
  • Proven experience working with a hotel property management system is a definite asset
  • Strong computer application (Word, Excel) required;
  • Strong aptitude for the Accounting function is required;
  • Results oriented with the ability to be flexible and work well in a busy and demanding environment
  • A self-motivated individual with the ability to problem solve, initiate action, and complete projects in a timely manner with minimal supervision;
  • Must be friendly, energetic, enthusiastic and self-motivated;
  • A demonstrated passion for providing exceptional experiences for guests/customers;
  • Thrives in a fast-paced environment-maintaining composure and objectivity with guests and team members;
  • Available to work over-nights, weekends and/or holidays as required
